The Department of Rehabilitation Sciences is dedicated to advancing the field of physical therapy through excellence in education, research, and clinical innovation. Home to Tufts University's four Doctor of Physical Therapy (DPT) programs-Boston, Phoenix, Seattle, and Atlanta, the department supports a diverse community of approximately 80 faculty members and 20 staff across multiple campuses.
Faculty within the department are engaged in collaborative, impactful research aimed at addressing critical challenges in rehabilitation and physical therapy. What You'll Do
The Program Coordinator, Sr. is responsible for the day-to-day administrative functions of the Doctor of Physical Therapy-Phoenix Program (DPT-Phoenix Program) and primarily supports the Admissions and Clinical Education teams. The Program Coordinator, Sr. coordinates the collecting, maintaining, and reporting of student records, and ensures that records compliance and confidentiality are maintained in all administrative processes. This role works with the DPT Director of Admissions to coordinate the collection, processing, and evaluation of admission applications, and ensures that applicant privacy and confidentiality are maintained in all administrative processes. This position also works closely with the DPT Program Clinical Education Program Administrator to ensure consistencies in student information, schedules, and clinical education placement information.
Obligations of Position:
The Program Coordinator, Sr. for the DPT-Phoenix Program is a hybrid position with faculty who live across the United States. In order to effectively support the program, applicants must be within commuting distance to the Tufts University Phoenix campus as they will be required to work downtown at our office location for designated periods of time. Full- time employment is based on 35 hours per week. Evening and weekend hours will be occasionally required.
- DA: Assists the Director of Admissions in the development, execution, management, and yearly analysis of admissions policies and procedures in alignment with the program goals and outcomes.
Coordinates and assists admission process/procedures with the Tufts University Department of Rehabilitation Sciences. Coordinates with the Physical Therapy Centralized Application Service, Educational Testing Service (PTCAS), and other outside agencies involved in the admissions process. Creates and maintains electronic admissions records, communications, and databases related to admissions. - DCE/ADCE: Assists the Director and Assistant Director of Clinical Education with ongoing communication between the DPT program and personnel at each clinical education site.
Assists in collecting, maintaining, auditing, and reporting student clinical records. Responsible for managing a variety of documents, databases, and reports for the program designated to facilitate administrative matters related to clinical education ensuring consistency in student information, schedules, and clinical education placement information - Responds to inquiries related to the DPT Program, answering questions and direct inquiries from prospective students, matriculated students, faculty, and visitors to appropriate entities within the DPT-Phoenix Program. Leads onsite tour for prospective students.
- Plans, creates, and produces a variety of written materials such as forms, correspondence, manuals, invoices, charts, matrices, reports, records, schedules, templates, models, and other documents of similar complexity.
- Provides assistance with the day-to-day administrative functions for the DPT-Phoenix Program.
Collects, compiles, analyzes and presents data and information, and makes recommendations for the administrative management of the DPT-Phoenix Program, including the development of policies and procedures as appropriate. - Plans and participates in program events as appropriate (e.g., onsite clinical skills labs, open houses, DPT-Phoenix orientation, career fair, graduation planning events, other networking events).
- Designs, contributes, and manages marketing campaigns that are consistent with Tufts University social media practices in order to promote the program and its upcoming activities/events through social media platforms (e.g., Instagram, Twitter).
- Maintains records and establishes electronic filing system to ensure the expeditious retrieval of information.
What We're Looking For
Basic Requirements:
Knowledge and experience typically acquired by:
- Associate's Degree plus 5-7 years of experience
- Documented equivalent experience in an administrative position in a service oriented office
- Strong knowledge of Microsoft office suite (e.g. Word, Excel, PowerPoint)
- Experience with basic office equipment, including printer, scanner, copier, and fax.
- Possess discretion when dealing with highly confidential information.
- Demonstrates confidence, discretion, and proficiency in interpersonal and team skills in order to effectively interact with people at all levels.
- Demonstrates attention to detail and excellent decision-making skills in responding to high-pressure situations.
- Demonstrates ability to multi-task, prioritize work, and manage competing priorities in a fast paced, deadline-driven administrative office.

- Independently develop database, spreadsheet, or word processing documents requiring understanding and proficiency with contemporary software applications and programs.
- Perform complex data-entry tasks for which there are a variety of formats and procedures.
- Possess knowledge of correct business practices, correspondence, and typing formats.
- Ability to read and comprehend regulations, procedures, and policies and apply them to specific situations.
- Ability to perform basic arithmetic, such as fractions, decimals, and percentages.
- Demonstrate knowledge and usage of correct grammar, composition, spelling, and punctuation and produce documents that do not require significant review and editing.
- Possess basic knowledge of accounting systems.
- Possess the initiative to act with self-direction and independently to correct and improve operations in the DPT Program.

Pay Range
Minimum $33.65, Midpoint $40.10, Maximum $46.60
Salary is based on related experience, expertise, and internal equity; generally, new hires can expect pay between the minimum and midpoint of the range.
