We are seeking a 32-hour clinic/practice assistant to support our Infectious Disease practice located in the Gloria Wallis Building adjacent to Salem Hospital. This 32-hour position offers the opportunity to work closely with a dedicated team of three Infectious Disease physicians, a Medical Assistant, and a Licensed Practical Nurse in a collaborative setting focused on providing exceptional patient care. The Clinic/practice assistant serves as an important member of the care team and is often the first point of contact for patients. Responsibilities include greeting and checking in patients, managing check-out processes, scheduling follow-up appointments, answering incoming phone calls, and supporting daily office operations. This individual will also assist with administrative coordination related to patient care, including supporting the clinical team with scheduling and communication needs for home infusion patients. Success in this role requires strong organizational skills, attention to detail, excellent customer service, and the ability to effectively manage multiple priorities in a busy specialty practice. This position is scheduled for 32 hours per week across five days, with daily start times varying based on clinic schedules. Qualified candidates will have prior healthcare experience and be comfortable working both independently and as part of a close-knit team. Experience with Epic, patient scheduling, registration, and medical office workflows is strongly preferred. Performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations, under minimal supervision. Performs administrative duties related to patient visits including scheduling, check-in, check-out duties (performs all duties of the other levels at highest proficiency level). Actual job duties may vary by Department. Does this position require Patient Care? No Essential Functions: -Perform routine administrative and clerical duties relating to a clinical service or physician practice office. Make patient appointments and maintain appointment records. Assist callers with routine inquiries, and schedule appointments. Process patient billing forms and scan documents to patient medical record/LMR. -Acts as "Super User" for scheduling, registration and billing systems. Provides assistance and training to others in these areas. May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level. -Provides functional guidance to Office and Practice Assistants. -In conjunction with Supervisor oversees daily activities of practice staff. -May be required to accept co-payments. Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results. Education
High School Diploma or Equivalent required Can this role accept experience in lieu of a degree? No Licenses and Credentials Certified Medical Administrative Assistant [CMAA] - preferred Experience office experience 2-3 years required Knowledge, Skills and Abilities - Proficiency with all Office Suite, Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing. - Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate. - Communicating effectively in writing as appropriate for the needs of the audience and talking to others to convey information effectively. - Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages. - Managing one's own time and the time of others. - Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
