Job Description:

JOB OVERVIEW

The Event Operations Senior Associate plays a critical role in the execution and operational success of meetings and events across the firm. This position is responsible for coordinating and managing complex logistical components, including scheduling, shipping, vendor interactions, inventory oversight, and on-site event support. The Senior Associate serves as a key executor within the Event Operations function, ensuring that all operational components of assigned events are delivered accurately, efficiently, and in alignment with firm standards.

KEY RESPONSIBILITIES

Event Logistics & Execution

  • Coordinate detailed logistics for medium-to-large firmwide events including scheduling, shipping, venue setup, materials management, and onsite execution requirements.
  • Implement assigned tasks of event project plans for specified events, collaborating with Managers and Leads to ensure objectives, timelines, and operational processes are met.
  • Oversee shipping workflows, including creation of shipping schedules, vendor pickups, delivery tracking, packing standards, and post-event returns.
  • Vendor, Inventory & Resource Management.
  • Serve as a primary logistics liaison with vendors for execution needs for shipping, equipment rental, supplies, printing, and on-site services, escalating contracting or performance issues to Managers.
  • Manage and maintain event inventory including booth assets, giveaways, signage, and reusable materials; ensure accuracy of tracking records and sustainability practices.
  • Support vendor sourcing conversations by providing operational insights and identifying needs related to logistics, timelines, and support resources.

Technology, Systems & Reporting

  • Perform system administration tasks for event technology platforms including Cvent, Survey Monkey, Poll Everywhere, and related tools.
  • Generate logistics reports, shipping manifests, timeline updates, and other documentation to support event readiness and post-event evaluation.
  • Track potential risks or operational conflicts and promptly escalate issues that may affect event outcomes.

Collaboration, Communication & Cross-Functional Support

  • Work closely with Event Leads and Managers to ensure logistical requirements align with the operational plans and requirements defined by Event Leads and managers.
  • Coordinate with Marketing, Shared Services, IT, and other internal teams to ensure all operational components are aligned and executed accurately based on defined event plans and requirements.
  • Assist in event-related catering coordination for firmwide meetings and events.
  • Team Leadership & Process Development
  • Mentor and support Associates, contributing to onboarding, skills development, and process training.
  • Help refine operational procedures, templates, and documentation to ensure consistency and continuous improvement across the Event Operations function.
  • Support sustainability initiatives by identifying opportunities to optimize event materials usage and shipping practices.

QUALIFICATIONS

  • Bachelor's or Associate's degree in Business or relevant field preferred
  • 3-5 years of event support or logistics experience required
  • Project Coordinator and vendor management skills
  • Strong attention to detail and communication
  • Proficiency in Microsoft Office tools required
  • Proficiency in Cvent, Survey Monkey, Poll Everywhere, and other related platforms is a plus

The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. At Crowe, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $45,000.00 - $92,600.00 per year.
