Are you a detail-oriented professional with a passion for accuracy and a knack for managing critical information? We are looking for a dedicated Data Management Specialist I to play a pivotal role in maintaining the integrity of essential health records. In this position, you will be instrumental in ensuring precise data transfer, document imaging, and database maintenance, directly contributing to the seamless operation of vital health services. Your work will have a tangible impact, supporting critical processes and ensuring the highest level of data quality. Responsibilities:
- Accurately enter data into computer systems or databases.
- Initiate correct forms to flag problematic units and electronically correct them within specialized computer software, releasing products once verified by an authorized professional.
- Recognize and question anomalies by distinguishing deviations from established data patterns.
- Enter charts or other forms of data into databases.
- Perform clerical work such as word processing, maintaining office records, filing, and answering phones.
- Retrieve confidential medical history cards with problem unit forms attached, make necessary corrections in the computer system, re-run reports, leave memos for laboratory staff, and release units from hold.
- Perform imaging of confidential medical history cards and donor charts into a digital imaging system.
- Create new charts for new donors and maintain an organized filing system of all donor charts.
- Audit the digital imaging log for accuracy after imaging is completed, making corrections when discrepancies are found, including recalling original documents from long-term storage for re-imaging.
- Accurately package, log, and move confidential medical history cards in numerical order from the imaging room to boxes for off-site storage, using a spreadsheet to communicate contents of each box to the Facilities Manager.
- Maintain computerized and manual logs and files in accordance with established procedures.
- Convert data from one electronic system to another.
- Open and close data collection drives for mobile units and centers, and close drives from centers and mobile units when neglected by charge nurses.
- Perform data collection system setup, including production extraction, checking, deployment, and site master setup.
- Perform audits of own work or that of others to ensure conformance with established procedures.
- Run reports at the end of each shift and check all confidential medical history cards against the reports for accuracy, making corrections when discrepancies are detected.
- Help maintain the entire donor database, including demographics, visit history, donation count, and donor eligibility.
- Comply with governmental regulations and organizational policies regarding health and safety. Observe and support good health and safety practices.
- Strictly observe privacy and security-related policies, procedures, and practices to preserve the integrity and confidentiality of sensitive information pertaining to donors, patients, research subjects, and employees. Act as a responsible information steward and treat information as sensitive and confidential in accordance with federal and state laws and with professional ethics, accreditation standards, and legal requirements. Do not disclose protected health information inappropriately.
- May be required to enter areas where other individuals work with human blood; potential may exist for unanticipated exposure to bloodborne pathogens by splash or spill.
Required Skills & Experience:
- High School Diploma or GED.
- Fluent and effective communication skills in both oral and written English; ability to articulate information clearly.
- Flexibility to work rotating daily and weekly schedules that revolve around donor appointments, which includes evenings, Saturdays, and Sundays. Ability to adjust with ease to unplanned situations.
- Demonstrated organizational skills, critical thinking skills, and meticulous attention to detail.
- Ability to comprehend and remain up to date on medical terminology, policies, procedures, and regulatory compliance requirements.
- Ability to comprehend and remain up to date on written and oral communications, and work schedule parameters.
- Ability to work effectively with diverse groups of people, conduct work with civility in all interactions, and maintain appropriate professional relationships/boundaries with co-workers and customers.
- Demonstrated strong customer service and interpersonal skills that include an empathetic approach to co-workers and customers.
The target hiring compensation range for this role is $22.89 - $49.82 an hour. Compensation is based on several factors, including but not limited to education, relevant work experience, relevant certifications, and location.
