The Town of Needham is seeking a highly qualified individual to fill the part-time positions of Administrative/Office Support Specialist 1, working in the Office of the Town Clerk. Under the general direction of the Town Clerk and Assistant Town Clerk, these individuals will provide administrative support to election preparation and a variety of record and license processing.
This parti-time position is flexible with scheduling roughly 3 hours/day, up to 19.5 hours/week.

Duties and Responsibilities

- Support with elections and census by:
- Reviewing and sorting census forms
- Answering phone calls from Needham voters, utilizing a script for anticipated/frequently-asked questions
- Assisting election workers and staff in processing requests for vote by mail ballots and ballots for mailing
- Support with data entry into the dog licensing system, as needed
- Scanning and updating rabies certificates as they are received
- Tracks board and committee swearing-in documentation, identifies missing documents.
- Tracks staff, board and committee ethics training requirements noting those who have not yet completed their requirements
- Perform clerical duties and other administrative tasks, as needed

Requirements

- General knowledge of local government functions including the need to collect licenses, the roles of boards/committees, and the importance of timely and accurate ballot processing during elections
- Strong attention to detail
- Ability to prioritize and organize tasks and duties
- Experience navigating computers and office equipment, including the use of Microsoft Office Suite
