The Global Meetings & Corporate Events department is responsible for all significant special events/ceremonies/business sessions designed to establish or reinforce the organization's most important relationships with the goal of contributing to the growth of the business. This position manages and assists with the planning and execution of corporate events.

QUALIFICATIONS

  • Bachelor's Degree required; preferred fields include Business Administration, Marketing, Management or Hospitality

  • Minimum three years' experience in event management or related field

  • Proficient writing and public speaking/presentation abilities

  • Proficient in Microsoft Office including Outlook, Word, Excel, and PowerPoint

  • Strong understanding of business acumen and financial accountability, including budgeting, cost allocations and project cost estimating

  • Ability to be self-directed, work independently and problem solve

  • Highly organized with the ability to manage ongoing conflicting workload demands of both planned and short lead time requests in a fast-paced environment

  • Ability to manage projects with attention to detail

  • Communication and relationship building skills with a focus on client satisfaction and ability to effectively communicate across all levels of the organization

  • Negotiation skills

  • Understanding of TOUR business in order to be conversant with clients

  • Familiarity with the TOUR's core business of golf

  • Willingness to work long hours when required

  • Valid driver's license with good driving record

  • Able to safely operate a utility vehicle such as, but not limited to, golf carts, utility carts, and shuttle carts

RESPONSIBILITIES/DUTIES

  • Assist in the planning of meetings and events, including annual in-person or virtual business sessions for various departments

  • Advise client of meeting logistics and ancillary services to ensure a successful outcome including but not limited to audiovisual and presentation management, catering, support, material attendance management, cost & budget reconciliations, timelines, program evaluations and follow-up.

  • Manage details of accommodations, transportation and confirmation of guest participation in advance of each event including aviation (commercial and private)

  • Manage invitation lists and create invitation collateral based on targeted constituent audience for event

  • Assume lead for the annual Holiday Sale to include managing inventory and volunteers

  • Assume lead for YOU Meetings and other smaller meetings/events in Global Home

  • Implement new inventory system and keep updated in real-time

  • Work with team to identify event venues, business & social programming, entertainment, golf arrangements, player participation for each event

  • Update detailed schedules and financial reports/analysis

  • Supports special projects to reinforce the overall corporate strategy

  • Assists with management of vendors and temporary staff to complete tasks related to project

  • Effectively communicates project timelines and employee notifications in a professional and effective manner. Manages multiple projects while adhering to strict timelines

  • Special projects or other duties as assigned
