DEFINITION Under the supervision of the appropriate administrator, performs various established admissions, enrollment, and records procedures are performed by of established admissions, enrollment, and records procedures. Provides technical information and assistance to students, staff, and the public regarding admissions, registrations, records, enrollment, fees, and other student services areas. Values and promotes the mission and vision of the college.
CLASS CHARACTERISTICS This is the first level in the enrollment services position series. The incumbent, under minimal supervision, will provide the full range of admissions and records (AR),Community Education (CE) services, requiring a broad knowledge of the functions of the organizational unit in the performing of the assigned duties, which includes a substantial amount of administrative detail and organizational unit's functions in performing non-routine work. The incumbent may train and assist in the workflow of staff within the department. The incumbents have a high frequency of responsible contact with students, staff, and/or the public requiring tact and effective communication skills.

Essential Functions and Qualifications

- Assist students, staff, faculty, and the public regarding information relevant to student applications, deadlines, and the matriculation process. Assists students in making account changes and corrections. Informs students of district procedures. (AR/CE)
- Maintains communications with students, staff, and community for the Enrollment Services department. This includes the incoming phone queue, electronic correspondence, live chat features, incoming and outgoing written correspondence, presentations, and other forms of communication. Serves as the first point of contact and provides information and assistance to the public, students, and staff. (AR/CE)
- Ensures all data is accurately entered into the student information system for reporting purposes. Works with related departments to ensure all data is correct in district databases. (AR/CE)
- Assist students with the student portal, CCCApply, and the college website. (AR/CE)
- Assists students with transcript requests, application and support documentation conflicts, and in resolving related conflicts. (AR/CE)
- Prepare and submit online reports to the National Student Clearinghouse. (AR)
- Answer basic inquiries related to financial aid.
- Process manual enrollment verifications for students, governmental agencies, and third-party programs. (AR/CE)
- Resolve fee-based student registration issues and maintain and update the registration procedure. (AR/CE)
- Accepts, reviews, and processes forms for accuracy and completeness; determine enrollment eligibility, including determining eligibility for nonresident students, immigration, and VISA requirements; monitor and tag a variety of enrollment components, including residency, financial obligations, assessment, probationary status, and prerequisites. - Prepare statistical information related to the Enrollment Services Office; gather, calculate and prepare college attendance information for distribution. (AR/CE)
- When assigned by location, accepts fees and vouchers and posts payments for student and staff services; accepts, verifies, and prepares cash and voucher receipts for posting to proper general ledger; Accepts and posts cash receipt entries for student and staff; including third party contracts and exemptions; prepares cashiering reports and reconciles daily work; assists students with the parking permit and refund processing management systems; assures internal control of district funds and audit requirements . - Assists with projects, proofreading, and data collection; distributes essential information, documents, materials, and publications and tracks these when necessary, including creating flyers; creates and tracks forms, spreadsheets, and documents. (/CE)
- Evaluates applications for certificates of achievement and certificates of accomplishment. Work with Credit and Non-Credit Counseling to verify, track, proofread, and issue certificates. (AR/CE)
- Schedules appointments; establishes and maintains organizational files (including electronic files). (AR/CE)
- Prepares and submits work orders; serves as the point of contact for equipment service technicians, stocks, and inventory supplies; and serves as liaison with external vendors. (AR/CE)
- Trains, and provides guidance in the work of students and temporary workers. (AR/CE)
- Issues student and staff ID cards. (AR)
- Assists the immediate supervisor with maintaining and keeping up-to-date written procedures for the position and department technology. (AR/CE)
- Performs other related duties as assigned. (AR/CE)
Knowledge of:
- Principles of good customer service;
- Correct English usage, spelling, grammar, and punctuation;
- District admissions and enrollment policies and procedures;
- Familiarity with Federal & State Education Code and other related applicable laws;
- Modern office methods, procedures, and equipment, including electronic filing systems, receptionist and telephone etiquette;
- Records management.
Demonstrated ability to:
- Learn, interpret, and apply legal mandates, policies, regulations, guidelines and operational procedures;
- Assure compliance with District, State, and Federal regulations and laws regarding admissions and records functions, including Title 5 Administrative Code, Attendance Accounting Manual, California Education Code, and FERPA law;
- Apply knowledge of modern office practices and equipment, including word processing, record management, and filing systems, telephone techniques, correspondence development, and report writing;
- Provide effective and prompt customer service while relaying appropriate information to the students, faculty, staff, and the public. Assume responsibility and perform repetitive work or continuously perform the same work with accuracy and efficiency;
- Plan, organize, and complete assigned work independently and within established time deadlines;
- Maintain confidentiality when dealing with sensitive and privileged material and information;
- Take responsibility and use professional judgment based on established guidelines and procedures;
- Type with speed and accuracy; make arithmetical calculations in a similar manner.
Working Conditions:
- Duties are primarily performed in an office environment, at a desk or at a computer.;
- May be exposed to contact with dissatisfied individuals;
- May be required to travel to different campus locations.
- The incumbent will experience interruptions while performing normal duties during the regular workday. The incumbent will have contact, in person, by email and by phone with staff, students, and the general public.
- May sit for extended periods of time.
- Communicates in person, by email, and over the telephone.
Physical Demands:
- Position requires sitting and viewing a computer monitor for extended periods of time plus frequent periods of standing and walking, which may include climbing staircases;
- occasional exertion of 10 to 20 pounds of force to lift, carry, push, pull or otherwise move objects;
Special Qualification:
A sensitivity to and understanding of the diverse academic, socioeconomic, cultural, and ethnic backgrounds of staff and students and to staff and students with disabilities.

Minimum Qualifications
-
Education and Experience: An associate degree or equivalent and two years (2) of full-time equivalent experience working in community colleges, universities, high schools, and/or community agencies, or similar work involving programs or activities to assist the public. Experience using student information systems and the ability to communicate in Spanish is desirable (conversational).
Licenses and Certifications Incumbents in this classification may be required to possess a valid CA driver's license and use of a personal vehicle.

The desired start date is June 2026. This is a full-time, 37-hour, classified, 12-month position.
