Position Summary

The Student Success Manager serves a critical leadership role within the Office of Medical Student Affairs, at the University of New Mexico, School of Medicine, supporting approximately 400 medical students across all phases of the MD program.

This position is responsible for the operational planning, implementation, and evaluation of a comprehensive academic support program. The Student Success Manager provides strategic oversight of student advisement, academic records, compliance, financial aid operations, and student progression to ensure timely degree completion and adherence to institutional and regulatory requirements.

The role also serves as a key liaison between students, faculty, administration, and external stakeholders, ensuring effective communication, policy alignment, and high-quality student support services.

Duties and Responsibilities:

Program Leadership & Operations

  • Lead and manage the daily operations of the student advisement office within Medical Student Affairs.
  • Develop, implement, and evaluate programs that support student success, retention, and timely graduation.
  • Establish unit goals, operational procedures, and continuous improvement initiatives.
  • Provide leadership, supervision, and professional guidance to staff as applicable.

Student Advisement & Academic Support

  • Assist medical students with the steps of meeting academic requirements, course scheduling, and program progression across Phases I, II, and III.
  • Monitor academic progress and evaluate transcripts to identify students at risk; recommend probation or suspension actions as appropriate.
  • Ensure student compliance with institutional policies, including registration and insurance requirements.

Records & Compliance Management

  • Oversee the maintenance, integrity, and security of student academic records in accordance with FERPA and institutional policies.
  • Develop and administer processes for records management, archiving, and destruction.
  • Manage course scheduling and registration in collaboration with academic units.

Data Management & Reporting

  • Design and manage systems for collecting and analyzing program data.
  • Prepare reports, surveys, and institutional documentation (e.g., accreditation, annual reports).
  • Respond to internal and external data requests with accuracy and timeliness.

Fiscal Oversight

  • Monitor and manage departmental budgets; prepare interim and final financial reports.
  • Assist with budget planning and support funding proposals or grant initiatives.

Policy Development & Institutional Collaboration

  • Participate in the development and implementation of policies and procedures related to student affairs and advisement.
  • Serve as a liaison between faculty, staff, and administration on academic and operational matters.
  • Represent the department on committees and in professional organizations at the institutional, regional, and national levels.

Student Engagement & Programming

  • Coordinate and support new student orientation and onboarding activities.
  • Develop informational materials related to admissions, financial aid, and student services.
  • Address student inquiries and resolve complex administrative or academic issues.

Conditions of Employment

Minimum Qualifications

Bachelor's degree; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications
  • Experience working in medical education, with a strong understanding of MD program structure and requirements.
  • Demonstrated experience managing student records, course scheduling, registration processes, and facilities coordination.
  • Knowledge of student recruitment and admissions processes within a higher education or medical school environment.
  • Proven ability to communicate effectively with senior leadership, faculty, staff, and students from diverse backgrounds.
  • Experience using UNM systems, including Banner, as well as other institutional platforms for purchasing, hiring, personnel management, facilities coordination, and student records management.
  • Demonstrated experience in budget development, monitoring, and fiscal management.
