Overview

OAE, in collaboration with the Tufts University Alumni Association, strives to build lifelong relationships with the students and alumni of Tufts University with the goal of keeping alumni actively engaged and contributing to the university. This is accomplished through extensive programming initiatives in Boston, throughout the United States, and around the world catering to a variety of alumni needs and interests. OAE is the key point of contact for all alumni of the university. In conjunction with the Alumni Association, the Office of Alumni Engagement plans events and programs including Alumni Weekend, Homecoming, Reunions, Travel-Learn, Career Networking, Alumni Awards, Senior Awards and Alumni Council meetings, as well as programming for current students at the university, soon to be alumni.

What You'll Do

Provides advanced support and coordination for the regional and affinity-based alumni engagement team. Manages event logistics, communications, and data-driven initiatives that support alumni programming and engagement goals. Oversees back-end event setup and execution, digital communications, and content management across platforms. Serves as a key operational resource for marketing campaigns, social media, and alumni-facing initiatives, while providing guidance and supervision to graduate interns as applicable.
  • Supports team with budget management and expense tracking
  • Produces a variety of documents, reports, proposals or literature; organizes and maintains program/project files and databases; designs and updates applications and other forms for data entry anagement platform
  • Manages updates internal/external event postings to university websites, calendars
  • Manages posting social media material and leads Hustle campaigns for Office of Alumni Engagement
  • Manages JumboBox initiative
  • Assists coordination of logistics for meetings, seminars, lectures and other special events
  • Make travel, payment and other arrangements for speakers, presenters and self
  • Assist Sr. Director as needed.
  • Responds to inquiries and provides information to students, faculty, staff and other constituents; conduct internet research and gather information and data to resolve problems or concerns
  • Provide guidance and work direction to student and temporary workers and assists in training other support staff.

What We're Looking For

Basic Requirements:
Knowledge and experience typically acquired by:
  • High School Diploma /GED and 3+ years of administrative experience or
  • Excellent organizational, interpersonal and communication skills.
  • Volunteer management and/or customer service experience preferred.
  • Requires advanced knowledge of Microsoft Office suite including word processing, editing and graphics functions, spreadsheet and database knowledge.
Preferred Qualifications:
  • Bachelor's Degree and 2+ years of administrative experience.
  • Experience with the following systems (or similar) preferred: Advance (or other CRM), CVENT event management software, Salesforce Marketing Cloud, Drupal web editing platform and Qualtrics survey tool
  • Strong attention to detail, ability to multi-task, plan and prioritize work, and maintain focus in a fast-paced office environment.

Pay Range

Minimum $27.30, Midpoint $32.50, Maximum $37.70

Salary is based on related experience, expertise, and internal equity; generally, new hires can expect pay between the minimum and midpoint of the range.
