| Duties & Responsibilities |
The Administrative Support Assistant II will be responsible for working at the front desk at the PCCE main office and interfacing with the public by answering phone calls, greeting visitors, monitoring and redirecting incoming emails, and ensuring that public areas are welcoming and that public information is displayed.
- Answer phones
and greet visitors. - Receive and
distribute mail. - Monitor PCCE
central email address and forward messages. - Maintain
organization in the front lobby and conference rooms.
Under the direction of the PCCE Director and Business Manager, this position will coordinate maintenance of PCCE facilities, equipment, and supplies.
- Organize
surplus materials and schedule pick-up. - Communicate
with Pima County regarding building maintenance and pest control. - Order and
organize office supplies and furniture. - Track vehicle
maintenance and follow up. - Other similar
duties, as directed.
The Administrative Support Assistant II will assist the PCCE Business Manager and PCCE Director with various organizational tasks.
- Track and log
checks received via mail. - Administrative support and communications with the PCCE Advisory Board
Committee. - Maintain the
PCCE general listserv and help with other mailing lists as directed. - Assist with
the PCCE e-newsletter. - Reconcile
P-Cards and stand in as back up for PCCE Programs. - Additional
support tasks as directed.
Under the supervision of the PCCE Director and Business Manager, Administrative Support Assistant II will support all PCCE staff by organizing meetings, coordinating office events, and managing communication and compliance tracking for PCCE and UA policies.
- Manage the
intraoffice calendars. - Schedule
rooms and other use of the PCCE main office facility. - Schedule and
send reminders for staff meetings. - Assist with
coordination of office-wide events and celebrations. - Distribute UA
information through the PC listserv and track compliance.

| Minimum Qualifications |
- High school diploma or high school diploma equivalency is required.
- Three years of relevant experience, or equivalent combination of education and work experience.

In compliance with the Jeanne Clery Campus Safety Act (Clery Act), each year the University of Arizona releases an Annual Security Report (ASR) for each of the University's campuses.Thesereports disclose information including Clery crime statistics for the previous three calendar years and policies, procedures, and programs the University uses to keep students and employees safe, including how to report crimes or other emergencies and resources for crime victims. As a campus with residential housing facilities, the Main Campus ASR also includes a combined Annual Fire Safety report with information on fire statistics and fire safety systems, policies, and procedures.
