Summary: This hybrid role is designed for a highly organized individual who excels in both administrative and clinical environments, with approximately 75% of responsibilities focused on top-level front office and administrative coordination, and 25% dedicated to direct clinical support. The role plays a key part in ensuring seamless operations for both patients and staff, supporting clinical care, patient experience, and programmatic initiatives. Responsibilities:
- Ensure compliance with all organizational policies, procedures, and financial audit standards, including revenue cycle guidelines.
- Perform comprehensive patient check-in and check-out, including verifying insurance, obtaining authorizations, and accurately coding visits with appropriate ICD and CPT codes.
- Process and safeguard patient health information in accordance with privacy standards; address billing inquiries and reconcile daily receipts.
- Schedule and confirm patient appointments, entering all required demographic and clinical data, and coordinate with other departments or services for seamless patient care.
- Demonstrate strong computer proficiency, maintain organized records, and execute administrative duties such as answering phones professionally, managing correspondence, and supporting office operations.
- Monitor and maintain adequate levels of clinical and office supplies and equipment, placing orders as necessary to ensure uninterrupted clinic function.
- Adhere to safety and regulatory requirements, including HIPAA, OSHA, and infection prevention protocols; actively participate in performance improvement and quality assurance activities.
- Provide exceptional customer service and clear communication to patients, families, visitors, and the healthcare team; foster a positive and collaborative work environment.
- Deliver direct clinical support by preparing exam rooms, assigning rooms to providers, obtaining patient vitals, conducting InBody screenings, assisting with procedures, and supporting patient flow throughout the clinic.

Other information: Education Requirements: * None required as long as other position qualifications are met. * Completion of a Medical Assisting program accredited by either the Commission on Accreditation of Allied Health Education Programs (CAAHEP) or the Accreditation Bureau of Health Education Schools (ABHES) is strongly preferred but not required. Licensure/Certification Requirements: * Requires Medical Assistant certification by either the American Association of Medical Assistants (AAMA), American Medical Technologists (AMT), National Health Career Association (CCMA), National Association of Health Professionals (NRCMA), or National Center for Competency Testing (NCMA). * Basic Life Support Certification from American Heart Association (AHA) or American Red Cross (ARC) required. Professional Experience Requirements: * Prior medical assistant or medical assistant externship experience preferred. Knowledge/Skills/and Abilities Requirements: * Ability to perform the essential functions of the position as outlined above. * Demonstrated effective communication and interpersonal skills. * Demonstrated ability to engage positively with patients and families and to work as a team with staff and providers. * Ability to use a computer to document required information into the electronic medical record.
