Responsibilities


Job Purpose:

The Maintenance Planner is responsible for planning, scheduling, and coordinating maintenance work while ensuring timely procurement and availability of MRO (Maintenance, Repair, and Operations) parts and services. This role supports safe, efficient plant operations by improving equipment uptime, controlling maintenance costs, and maintaining optimal inventory levels.

Job Responsibilities:

  • Source, quote, and purchase MRO parts, supplies, and services to meet maintenance and operational needs.
  • Manage vendor relationships, pricing, lead times, and service performance; pursue cost-saving opportunities.
  • Ensure critical spares are identified and stocked appropriately; maintain min/max levels and reorder points.
  • Expedite orders when needed; coordinate deliveries and resolve shortages, substitutions, or backorders.
  • Maintain accurate item master data: descriptions, specifications, alternates, BOMs, and preferred suppliers.
  • Inventory Accuracy (Audit and cycle count)
  • Develop and maintain preventive maintenance (PM) and predictive maintenance (PdM) plans.
  • Create detailed work orders including scope, labor estimates, parts, tools, permits, and job plans.
  • Build and manage weekly maintenance schedules in coordination with Operations & Maintenance
  • Prioritize work orders based on safety, risk, downtime impact, and production needs.
  • Coordinate contractor work and planned outages/shutdowns; ensure readiness (parts, permits, access, etc.).
  • Track plan vs. actual performance and implement improvements to planning & schedule accuracy.
  • Maintain equipment files, PM routes, job plans, asset hierarchies, and parts associations.
  • Analyze maintenance history and inventory usage to identify trends and recommend improvements.
  • Support audits related to inventory accuracy, purchasing compliance, and maintenance documentation.
  • Ensure maintenance plans incorporate safety requirements (LOTO, confined space, permits, PPE, etc.).
  • Support compliance with plant policies and applicable regulations (e.g., OSHA, environmental, food/quality if applicable).
  • Participate in reliability initiatives (RCA, PM optimization, criticality analysis) and kaizen projects.
  • Promote standard work for planning, purchasing, storeroom practices, and vendor management.

Physical Demands:

  • Frequent need to walk, stand, and sit.
  • Frequent walking, reaching, lifting up to 25 lbs.
  • Regular repetitive motion of hands and arms.
  • Occasionally stoop, bend, lift/move up to 25 lbs.
  • Close, distance, peripheral, vision, depth perception, adjust focus.

Qualifications, Skills & Experience:

  • High school diploma or GED required; technical degree or relevant certification preferred.
  • 1+ years of experience in maintenance planning, maintenance supervision, MRO purchasing, or industrial storeroom operations (manufacturing/plant environment).
  • Strong working knowledge of mechanical/electrical components, industrial equipment, and maintenance workflows.
  • Experience using CMMS (e.g., SAP PM, Maximo, MP2, Infor/EAM, Oracle, CribMaster, etc.) and purchasing systems (MSS, SAP, etc.).
  • Proficiency with Microsoft Office (Excel, Outlook) and basic data analysis.
