Position Overview

Vantage is seeking an ambitious and self-starting Project Coordinator to support the planning, coordination, and execution of construction projects within the organization. This role is integral to ensuring that projects are completed on time, within budget, and in compliance with quality and safety standards. The Project Coordinator will work closely with project managers, team members, and stakeholders, playing a key role in maintaining the smooth flow of project activities.

Essential Job Functions
  • Support the Power Generation and Permitting teams through daytoday project coordination and administrative execution, ensuring alignment across schedules, documentation, and deliverables.
  • Coordinate project activities by tracking action items, milestones, and dependencies to ensure workstreams remain aligned with project goals and timelines.
  • Schedule, organize, and support project meetings, including preparation of agendas, coordination of attendees, and distribution of notes and followup items.
  • Provide administrative and coordination support to ensure projects progress on schedule, within budget parameters, and in alignment with quality and safety expectations.
  • Assist with the preparation, processing, and tracking of contracts and purchase orders (POs) for vendors supporting Power Generation and Permitting scopes.
  • Ensure all contracts, POs, and related documentation are processed accurately and in accordance with company policies and procedures.
  • Maintain compliance with Vantage document control standards by organizing, filing, and managing project documentation to ensure accuracy, consistency, and accessibility.
  • Serve as a central point of coordination between project managers, internal stakeholders, and external partners, ensuring timely communication and information flow.
  • Prepare and distribute project reports, dashboards, and status updates, highlighting milestones, risks, and items requiring escalation.
  • Support adhoc coordination, administrative, and reporting needs as assigned by management.
Job Requirements
  • Combination of education and/or demonstrated experience as a Project Coordinator or in a similar coordinationfocused role.

  • 1-3 years of experience supporting construction, infrastructure, or capital projects in a coordination or administrative capacity is preferred.

  • Experience with contract and purchase order preparation and tracking is preferred.

  • Strong organizational skills with the ability to manage multiple priorities across parallel workstreams.

  • High attention to detail and accuracy, particularly in documentation and reporting.

  • Strong written and verbal communication skills, with the ability to work effectively with crossfunctional teams.

  • Ability to operate in a fastpaced, deadlinedriven environment while maintaining organization and consistency.

  • Problemsolving mindset with a proactive and solutionsoriented approach.

  • High level of professionalism, integrity, and discretion.

  • Ability to work both independently and collaboratively within a team environment.

  • Travel is expected to be up to 5%, with potential to increase as business needs evolve.
