Primary Purpose of Organizational Unit
The mission of the UNC Hussman School of Journalism and Media is to prepare students to ignite the public conversation in our state, the nation and the world, and to understand the role of communication in fostering democracy. Our faculty, staff, students and administrators work collaboratively to build and foster an environment that is welcoming, inclusive and accessible to people with diverse backgrounds, experiences and beliefs.

The school offers bachelor's, master's and doctoral degrees, and administers a variety of professional development and distance-learning programs. Enrollment includes about 1,000 undergraduates and 130 graduate students in addition to professional development and distance education students. Our faculty members are international thought leaders whose scholarly and creative activities are visible and respected in the public realm.
Position Summary
The Hussman School of Journalism and Media invites applications for a full-time, temporary Administrative Assistant position to provide comprehensive professional support within the Dean's Office. This position serves in a central operational and administrative role for the school, providing comprehensive support across facilities and capital projects, senior leadership administration, front desk and office management, and schoolwide operational services.
A significant portion of the role is dedicated to facilities and capital project coordination. The incumbent serves as the school's primary liaison with university facilities services and related teams, supporting building operations, space management, room reservations, access control, and facilities service requests. The position maintains accurate space and occupancy records, coordinates office assignments, oversees building access systems, and assists with renovations and capital projects in collaboration with school leadership, university partners, and external vendors. The Administrative Assistant works closely with the university's parking and transportation team to assign, modify, or cancel employee parking passes.
The position also provides comprehensive administrative support to senior leadership within the Dean's Office, including associate deans and the senior associate dean. Responsibilities include managing calendars and meetings, coordinating travel arrangements, processing reimbursements and purchasing card activity, preparing correspondence and reports, and supporting meetings, events, and special projects. The role works closely with the Dean's Executive Assistant to ensure continuity of operations and serves as a backup as needed.
In addition, the position functions as the front desk and office manager for the Dean's Suite, serving as the first point of contact and public face of the school. This includes greeting visitors, managing phone and email inquiries, overseeing reception and conference spaces, coordinating office equipment service, and maintaining a welcoming, organized environment. The role also develops and maintains filing, records, and administrative workflows to improve efficiency and effectiveness within the Dean's Office.
Finally, the position provides broader school operational support, including managing temporary parking logistics, coordinating package processing, overseeing supply ordering and inventories, serving as the school's records retention coordinator, and acting as the primary Access Request Coordinator for nonstudent campus systems.
The Administrative Assistant leverages strong organizational skills, sound judgment and a high degree of autonomy to analyze, prioritize, and manage streams of complex and confidential information. These abilities support the completion of all work assignments with professionalism, discretion, and efficiency.
This incumbent uses diplomacy and well-developed communication skills to organize and relay information to senior leadership, faculty, staff, and students, ensuring clarity, accuracy, and professionalism in all interactions. Through effective workflow management and careful handling of sensitive information, the Administrative Assistant contributes to smooth and reliable administrative operations. The Administrative Assistant must communicate effectively in writing and verbally, and work successfully in a fast-paced environment characterized by frequent interruptions and interaction with a wide range of stakeholders. Responsibilities must be carried out with consistent attention to detail, high levels of customer service, and professionalism while balancing competing priorities in an office whose needs and priorities regularly evolve.
This position is 100% on-site and is located in the Office of the Dean. This is a 2-month position with the option to extend.
Minimum Education and Experience Requirements
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Management Preferences

  • Working knowledge of MS Word, Outlook (including calendaring functions), Excel and PowerPoint.
  • Excellent organizational and time management skills.
  • Strong verbal and written communication skills.
  • Ability to demonstrate professionalism, initiative, and adaptability
  • Demonstrated capacity for independent decision-making and problem solving.

Special Physical/Mental Requirements

  • Ability to spend extended periods of time in front of the computer with or without reasonable accommodation.
  • Ability to lift up to 20 pounds and regularly move/maneuver between and throughout campus buildings with or without reasonable accommodation.
