Schedule: Monday - Friday, 8:00am - 4:30pm


Status: Full-time/Non-Exempt/Non-Management/Temporary

Job Description Summary:


Under the direction of the Senior Director of CES and Community Engagement, the Financial Assistance and Data Coordinator will provide department wide support and oversite to the financial assistance requests for CES related programs such as Time Limited Subsidy, Homelessness Prevention and Problem Solving. This role is responsible for processing and tracking all Financial Assistance requests for program participants, coordinating documentation and information between programs and finance to promote timely client assistance needs are met such as ongoing rental assistance. In addition, this role will work in collaboration with other data analysts in SPA 4 to aggregate and track regional performance metrics.



Job Description Essential Duties and Responsibilities:



  • Receive, prepare and screen financial assistance requests for program and funding eligibility, as well as accuracy and completeness.
  • Coordinate with referring program services staff to ensure documentation standards meet programmatic compliance.
  • Coordinate with finance department to ensure required documentation for each vendor is obtained and that each request can meet compliance requirements defined by our funders.
  • Process all requests accurately, completely, and in an efficient and timely manner.
  • Track orders, requests and payments to ensure clients get served in a timely manner, and that all components of referrals (e.g. security deposit, rents, furniture assistance, utility deposits) are fulfilled.
  • Provide a high quality customer service environment while working with case managers, vendors, and external agency partners.
  • Work with program leads and staff to create timelines and coordinate between deadlines to ensure successful fulfillment of financial assistance needs are met.
  • Prepare and maintain internal spending and other tracking and financial reports that can be integrated with those utilized by our finance department.
  • Prepare external financial and other reports as required to support the budget process such as expenditure and utilization trends.
  • Administer client databases including generating and analyzing reports, user management, and adherence to Homeless Management Information Systems policies and procedures.
  • Oversee the compilation and submission of CES grant reports related to spending and make data informed recommendations for process improvement.
  • Participation in data coordination meetings or funder led projects.
  • Development of monthly compliance related tasks for high risks programs within the department.
  • Tracking of audit information gathering and corrections per program within the CES department



Job Description Qualifications:



  • High School Diploma or GED or Equivalent
  • Experience working in or with a Finance department
  • Knowledge of homeless social service providers and Coordinated Entry System
  • Able to communicate and interact with subcontractors, housing providers and community partners in a culturally competent manner
  • Detail oriented with excellent time management, organizational, written, verbal, interpersonal, and computer skills with proficiency in Microsoft programs
  • Able to work effectively with a wide range of constituencies
  • Strong interpersonal and team building skills
  • Flexible, adaptable, and capable of working in a fast paced, professional environment


Job Description Preferred Qualifications:



  • Bachelor's Degree in Accounting or Human Services, or related field
  • Ability to understand and apply funder and contractual compliance requirement



Job Description Work Environment:



  • Combination of field and office environment.
  • Regularly required to sit, stand, bend; occasionally lift up to 35lbs.
  • On occasion walk or drive to different local sites.
  • Will necessitate working in busy and loud environments
  • Will be exposed to elements like cold, heat, dust, noise, and odor.
  • May need to bend, stoop, twist, and sit throughout the day.
