Summary of Job Duties:Basic Functions

Provide administrative support, office management, and clerical functions for the TRIO Student Support Services grant program.

Position Duties

[Note: a percentage (out of 100 total) should precede each position duty, remove this note when completed. This is what the evaluation is based.]

30% - Position Duty #1

Researches and analyzes data pertinent to work programs and/or agency/institution goals and objectives and prepares reports explaining findings and recommendations.

Assists in developing or revising policies, procedures, and directives based on research findings; submits to supervisor for approval.

Compiles financial information used by supervisor to formulate budget proposals and monitor expenditures to ensure optimum operating efficiency.

30% - Position Duty #2

Reviews and answers or prepare correspondence relating to agency/institution programs.

Interprets agency administrative directives, policies, and procedures to ensure consistent application.

Provides information, assistance, and clarifications to interested parties concerning agency/institution programs, policies, and procedures.

10% - Position Duty #3

Assists supervisor by maintaining records, appointment calendar, and prioritizing incoming correspondence.

10% - Position Duty #4

Assist TRIO Staff with travel arrangements for conferences and student travel

Assist with setting up workshops or any other TRIO programing as needed.

Performs other duties as assigned.

Knowledge, Skills, and Abilities

Knowledge

Principles and practices of higher education administration, particularly within the community college mission.

Federal, state, and local policies and regulations affecting higher education (e.g., FERPA, ADA/Section 504, Title IV).

Budget development, fiscal management, and grant administration.

Strategies to support student access and success.

Skills

Effective budget preparation, resource allocation, and financial oversight.

Conflict resolution, negotiation, and consensus building.

Strong communication-oral, written, and interpersonal-with diverse audiences.

Abilities

Manage multiple tasks, initiatives, and complex projects simultaneously.

Build and maintain strong relationships with faculty, staff, students, and community partners.

Adapt to changing enrollment trends, workforce needs, and policy environments.

Maintain TRIO files with required federal information for reporting purposes. Qualifications:

Qualifications

  • Associate's degree or higher

  • Experience managing budgets, office management procedures, and resources.

  • Evidence of commitment to student success in a community college or similar setting.

  • At least 2 years of experience or formal training in secretarial or office management work.

  • Excellent communication and organizational skills

Preferred Qualifications

  • Experience working in an educational or counseling-related setting

  • Background similar project participants

Additional Information:

Salary Information:

$32,500-$35,000
