Vaco has partnered with a clientin downtown Indianapolis to fill aSenior Billing Specialistposition. This role willsupport a growing accounting team in a fast-paced legal environment.

Work Location:Downtown Indianapolis; hybrid schedule after first 90 days

This role is responsible for ensuring accurate, timely client invoicing while also providing leadership, training, and support to billing staff. The ideal candidate has 5-plus years of experience with legal billing and e-billing andis a self-starter who can adapt quickly, manage complex billing requirements, and thrive amid ongoing change.

This is a direct-hire, hybrid position based in Indianapolis, with a schedule of three days in office and two days remote.

Key Responsibilities
  • Generate, review, and process client prebills in accordance with established procedures and timelines.

  • Interpret attorney billing instructions and ensure compliance with client guidelines, fee agreements, and firm policies.

  • Manage the accurate and timely delivery of invoices, including electronic billing submissions.

  • Maintain billing instructions and matter details within the legal management system.

  • Troubleshoot and resolve billing discrepancies and complex billing scenarios, including split billing and multi-payor arrangements.

  • Serve as a subject-matter resource for attorneys and internal stakeholders.

  • Provide training, mentorship, and ongoing support to billing team members.

  • Assist with creating documentation, training materials, and process improvements.

  • Maintain confidentiality of client and firm financial information.

Qualifications
  • Minimum of 5 years of legal billing and e-billing experience.

  • Proven ability to lead, train, and mentor others.

  • Advanced knowledge of e-billing platforms, LEDES formats, and vendor requirements.

  • Strong attention to detail, organization, and problem-solving skills.

  • Ability to prioritize work in a high-volume, deadline-driven environment.

  • Proficiency with Microsoft Excel, Outlook, and Word.

  • Experience with legal management systems; familiarity with LMS and/or Aderant preferred.
