Position Overview

Courtyard Marathon is seeking a motivated, detail-oriented Sales Coordinator to support our on-property Sales team. This role is ideal for a hospitality professional with local market knowledge and prior hotel or resort experience who is looking to grow their career in sales, events, and revenue generation.

The Sales Coordinator plays a critical role in ensuring the smooth day-to-day operations of the Sales Department while serving as a key liaison between Sales, Operations, and our guests. This position offers exposure to group sales, catering, weddings, and corporate business within a dynamic resort environment in the Florida Keys.

Key Responsibilities

  • Provide administrative and operational support to the Sales Department, including data entry, report generation, correspondence, and document management.
  • Assist with the preparation, distribution, and tracking of contracts, proposals, resumes, and departmental records.
  • Support the coordination of group, catering, and event-related activity, ensuring accuracy and timeliness.
  • Maintain up-to-date knowledge of hotel amenities, services, features, and hours of operation to confidently assist clients and internal teams.
  • Ensure all sales files, reports, and correspondence are maintained with strict confidentiality and organization.
  • Serve as a communication hub between the Sales Department, General Manager, department leaders, and hotel staff.
  • Collaborate with the Front Desk and Operations teams to ensure seamless guest and group arrivals.
  • Assist in maintaining a clean, organized, and professional sales office environment.
  • Respond to incoming calls and inquiries in a courteous, professional, and timely manner.
  • Support special projects and initiatives as assigned by Sales leadership.

Operational & Administrative Support

  • Ensure compliance with daily Sales Department procedures and brand standards.
  • Maintain working knowledge of office equipment, computer systems, and hotel sales platforms.
  • Assist with preparing and maintaining statistical and performance reports.
  • Help support the execution of sales initiatives, promotions, and site inspections.

Schedule & Availability

  • Must be available to work a flexible schedule, including weekends, holidays, and varied shifts, based on business needs.

Qualifications

  • High school diploma or equivalent required; additional hospitality or business education preferred.
  • Minimum 1-2 years of administrative or hospitality experience, preferably within a hotel or resort environment.
  • Prior experience supporting sales, catering, events, or guest relations is strongly preferred.
  • Strong written and verbal communication skills in English.
  • Proficient computer skills, including Microsoft Office; experience with hotel systems is a plus.
  • Ability to prepare and manage reports with accuracy and attention to detail.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Professional demeanor with a service-oriented mindset.
  • Local Florida Keys knowledge and experience strongly preferred.
