Responsibilities

Schedule: Monday-Friday, 8a-5p CST; Ability to work 1-2 days remotely, after completing training period of 90 days.

Meritage Homes is looking for an Executive Assistant/Human Resources Coordinator in Houston, TX to perform senior level Executive Assistant responsibilities for our Houston Division President, in addition to the division leadership team and other leaders, as needed. This role requires ability to exercise initiative, discretion, judgment, tact, and diplomacy with sensitive, complex, and highly confidential information in a very fast-paced environment. The incumbent is responsible for providing advanced, diversified, and confidential administrative duties that require broad and comprehensive experience, skill, and knowledge of organizational policies and practices.

Administrative

  • Calendar management and scheduling
  • Travel planning and coordination
  • Copying, collating, binding - desktop publishing
  • Report creation
  • Event Planning for small and large events
  • Presentation development and editing
  • Coordinate MS Teams Meetings
  • Create and manage expense reports
  • Compose letters, reports, emails, proposals, as needed
  • Mail, phone lists, schedule meetings, process invoices, set up vendors, set up new hire computers and workstations, etc.
  • Work with building management for employee access to garage and building, submit work orders, and reserve conference rooms

People Operations

  • Electronic employee file maintenance and organization
  • Open job requisitions
  • Track background check progress for new hires
  • Onboard new hires
  • Driver of new processes rollout and people operations project deadlines
  • Aid in employee review process
  • Ensure annual completion of employee compensation documents, and submit bonus spreadsheets to payroll

IT

  • Request equipment and access for new hires
  • Report broken or outdated equipment issues
  • Collect, package, and return equipment
  • Coordinate onsite IT projects for AV updates, equipment refreshes, and trainings
  • Keep inventory of deployed employee devices and office equipment

Qualifications

  • College degree preferred with 2 - 4 years' experience supporting executives and office management.
  • Advanced level technical skills with Microsoft Office tools, Word, PowerPoint, Excel, and Outlook required.
  • Experience in real estate, commercial, property management, construction or home building industry preferred, but not required.
  • Strong experience developing processes/procedures and process flow documents.
  • Exemplary written and verbal communication skills.
  • Superior organization and project management skills.
  • Ability to maintain confidential and proprietary information and data.
  • Ability to work independently, think critically, and exercise delegated decision making
  • Proactive - anticipates needs and takes action.
  • Flexible - able to excel in a fast-paced environment with changing priorities.
