JOB SUMMARY |
- Assist in the administration and coordination of construction project documentation.

MINIMUM QUALIFICATIONS |
- High school diploma/GED
- 2+ years of administrative/project support in construction is required.
|
PREFERRED QUALIFICATIONS |
- Strong Excel experience is preferred.
- Knowledge of Dexter & Chaney's Spectrum software is preferred.
- Knowledge of Procore construction management software is preferred.
- Experience working with sales tax in Kansas and Missouri regarding payroll and accounts receivable is preferred.
- Experience with T&M and AIA billings is highly preferred.

JOB RESPONSIBILITIES |

- Generally, works under the direction of a Project Manager (PM) or Assistant Project Manager (Asst PM), to provide administrative support to Asst PMs, PMs, and designated office staff.
- Assist with process improvement and project documentation control, including filing and maintaining drawings, RFIs, submittals, and other project-based logging systems
- Enter or update estimates, contract changes, subcontracts, vendor PO's, phasing, cost projections, and other pertinent project information in the company accounting system
- Assist with the production, coordination, review, and approval of project shop drawings and submittals in conjunction with project specifications and production requirements
- Monitor tax exemption certificates for tax exempt projects
- Assist with material tracking, material input, and cost projections
- Obtain W9s for vendors and subcontractors
- Monitor vendor COIs; pull COIs for projects
- Coordinate the distribution of job documents to both internal and external parties, as necessary or as appropriate per company procedures
- Set up jobs/projects and prepare daily reports as required by site(s)
- Develop and process product submittals & manuals
- Coordinate direction to administrative staff, procurement, logistics department, and production department as needed
- Interface and coordinate with designers and engineering from conception of design through submittal, product production, and as-build documentation control (with direction from PM or Asst. PM)
- Maintain ongoing communication related to projects, respond to inquiries, research and provide information as necessary to ensure the smooth administration of each job
- Write and submit PO's to vendors; Issue Purchase Orders for projects, materials, and equipment
- Interface with both internal and external individuals involved in projects, such as project team members, owners, general contractors, subcontractors, and vendors
- Maintain tracking of quotes & projects including data entry, update/create spreadsheets, process billings, process change orders, assist with project status updates
- Manpower tracking
- T&M and AIA Billings
- Order office supplies and equipment, manage mail and shipping requests
- Participate in the creation and response to RFIs
- Process permits, contracts, billings, weekly timecards, change orders, subcontracts, lien waivers, submittals, freight claims, and operation and maintenance manuals
- Support project and product cost control, tracking, and management
- Update customer rates with Union rate increases
- Update and distribute job info sheets
- Perform additional duties or tasks as assigned
