Job Description

The Sr. Executive Administrator is responsible for supporting the President of Value-Added Services and the Chief of Staff, as well as provide coordination support to the President's global leadership team. This role is ideal for a seasoned executive assistant who has supported c-suite executives and thrives in a fast-paced, dynamic environment, excels at anticipating needs and can maintain absolute discretion. This high-impact position demands exceptional attention to detail, professionalism and the ability to manage complex calendars, international travel and global stakeholder coordination across time zones.

Executive Administrator Responsibilities

  • Provide executive level administrative support, including managing a complex executive calendar scheduling both internal and external meetings across multiple time zones.
  • Plan, book and manage comprehensive international and domestic travel itineraries, including visas, accommodations and local logistics, ensuring seamless execution and last-minute flexibility.
  • Use Visa tools for expense and purchase management.
  • Serve as a trusted liaison between the President and internal/external stakeholders including several levels of management, Visa employees and Visa clients.
  • Draft and manage high-level communications with professionalism and discretion.
  • Act as a liaison, problem solver, and facilitator across multiple time zones
  • Plan onsite and offsite meetings and events, including coordinating conference room set-up, catering, A/V, and logistical arrangements, and providing occasional on-location support for activities such as group meetings and off-site networking engagements.
  • Must be proficient in PowerPoint presentations, Excel spreadsheets, and other documents
  • Assist with strategic initiatives and briefing materials in collaboration with the Chief of Staff. Providing support for reports, projects and initiatives as requested
  • Be responsive to reasonable requests for off-hours work, email and messages follow-up

Team Support Responsibilities

  • Coordinate on-boarding of new employees and contractors, and associated tracking
  • Assist with space management, workspace move requests and submit facilities work orders
  • Create purchase requisitions and assist staff with expense reporting and finance issues
  • Perform team support duties including ordering office supplies, booking meeting rooms, processing training registrations, and updating distribution lists
  • Purchasing gifts/recognition for employees with life events.

This is a hybrid position. Expectation of days in office will be confirmed by your Hiring Manager.

Qualifications

Basic Qualifications

* 2 or more years of work experience with a Bachelor's Degree or an Advanced Degree (e.g. Masters, MBA, JD, MD, or PhD)

Preferred Qualifications

* 3 or more years of work experience with a Bachelor's Degree or more than 2 years of work experience with an Advanced Degree (e.g. Masters, MBA, JD, MD)

* 5+ years of high-level administrative experience, with experience providing executive support to a leader with international accountabilities

* Customer service-focused, with a professional presence and an approachable personality

* Positive and can-do proactive mindset

* Capable of working with discretion and tact in an environment exposed to a high level of sensitive and confidential information

* Strong communication skills (both written and verbal), and ability to operate effectively and efficiently in a challenging, fast-paced environment

* Proficient in managing executive calendars, organizing worldwide travel, and processing expenses

* Skilled in Microsoft Outlook, Word, Excel, PowerPoint, SharePoint and AI tools such as CoPilot and ChatGPT

* Ability to multi-task, assist multiple team members at the same time, and prioritize work effectively

* Detail-oriented and able to complete work assignments with a high degree of quality

* Demonstrate initiative, flexible, highly organized and can anticipate and creatively resolve problems before they escalate

* Self-starter that is able to work independently, with minimal guidance

* Ability to work well collaboratively and under pressure

* Experience with event planning and project coordination highly desired

Additional Information

Work Hours: Varies upon the needs of the department.

Travel Requirements: This position requires travel5-10% of the time.

Mental/Physical Requirements: This position will be performed in an office setting. The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 102,600.00 to 145,150.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity. Visa has a comprehensive benefits package for which this position may be eligible that includes Medical, Dental, Vision, 401 (k), FSA/HSA, Life Insurance, Paid Time Off, and Wellness Program.
