POSITION SUMMARY:

The Administrative Coordinator II is responsible for managing and coordinating a variety of department projects, activities, reports, schedules, collection and management of data for projects and work in progress. This position provides administrative support and perform general office management duties necessary in the efficient operation of an office or program, and department projects and strategies.

The main responsibilities include:

* Collects and organizes specified data from various sources, which may include departmental heads and subject matter experts, budgetary documentation, and other appropriate resources.

* Identifies potential strategies and offers suggestions to resolve issues identified by data analysis.

* Performs clerical duties including typing, filing, and completion of simple forms.

* Coordinates and plans meetings

* Receives mail, documents, packages, and courier deliveries and delivers or distributes items.

* Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.

May serve as the receptionist for the office, greeting visitors and applicants.

* Answers phones, directs calls to appropriate individuals, and prepares messages.

* Develops office procedures to ensure efficient and timely operations.

* Connects teams and departments by providing communication, setting up presentations and supporting department initiatives.

COMPETENCIES:

A. Education: High school diploma.

B. Knowledge: Proficient with Microsoft Office Suite. Familiar with databases and spreadsheets. Knowledge of customer service protocols.

C. Skills:

Strong interpersonal skills are required to interact with Hospital administration, staff, patients and families, as well as to handle confidential and sensitive information.

Demonstrated ability to identify, analyze and solve problems.

Strong attention to detail to ensure accuracy in documentation and task execution

Ability to plan, organize, complete and manage programs in the most efficient manner.

Strong organizational skills to prioritize multiple tasks and manage deadlines

Ability to identify and rectify discrepancies before they escalate, thereby maintaining the integrity and efficiency of administrative processes.

Required Licensure, Certification: None

Work Experience: Three (3) years of experience F. Machines, Tools, Equipment: Personal computer and office automation equipment

DIMENSIONS: A. Budget Responsibility: None B. Authority/Decision Making Level: Makes routine departmental decisions based on established guidelines/processes/practices. Prioritizes work to meet changing priorities and requirements. C. Supervisory Responsibility: No direct supervisory responsibility. May train others on department processes Problem Solving: * Solves routine departmental inquiries and requests. * Engages with departmental stakeholders to review and improve operational efficiencies. Information Management: * Uses and understands department forms, requisitions, reports, etc. * Runs basic reports and provides data to client groups Working Conditions: * Works in a normal office environment where there are limited physical discomforts due to temperature, noise, dust, etc. * Prolonged periods of sitting. * Must be able to lift 10 pounds at times.

Salary Range: Minimum 20.22/hour - Maximum 33.38/hour. Compensation will be commensurate with equity and experience for roles of similar scope and responsibility.

In cases where the range is displayed as a $0 amount, salary discussions will occur during candidate screening calls, before any subsequent compensation discussion is held between the candidate and any hiring authority.
