The Assistant Vice President for Development Operations plays a key operational and strategic support role for the Development Department, ensuring that internal systems, tools, and processes empower fundraising teams to work efficiently, effectively, and in alignment with organizational standards. This position oversees CRM platform functionality and reporting, staff training programs, onboarding processes, and compliance across all back-end development operations. Partnering with the VP, Donor Relations & Operations, this role leads cross-functional efforts to optimize systems and workflows and creates a high-performing operational infrastructure that supports frontline fundraisers and drives donor engagement.

Main Responsibilities:

  • Oversee the administration, optimization, and user experience of the department's CRM platform (Salesforce), ensuring data integrity, customization, and alignment with fundraising strategies

  • Ensure operational systems and processes directly support fundraising effectiveness by enabling segmentation, personalized outreach, and timely donor engagement

  • Lead the design and delivery of technical training programs for Development staff, including onboarding, individual learning plans, and skill development related to systems, processes, and compliance

  • Develop and implement process improvements that increase efficiency, accuracy, and consistency across development operations

  • Collaborate with Donor Relations on the gift acknowledgement process, ensuring timely, accurate, and donor-centric communications that align with organizational standards

  • Create and maintain documentation and training resources for system use, process flows, and fundraising operations protocols

  • Influence organizational and data policies, ensure ongoing adoption and compliance, and audit standards related to donor records and fundraising activity

  • Collaborate with key internal stakeholders and cross-functional teams to align back-end development systems with broader institutional systems and reporting needs

  • Serve as a go-to resource for CRM reporting, dashboards, and troubleshooting for development staff across all levels

  • Partner with development leadership to identify knowledge gaps and address them through scalable, tailored training and coaching programs

  • Track and analyze internal system usage and operational performance metrics to drive continuous improvement and accountability

  • Lead change management efforts to support staff adoption of new systems, processes, and tools, fostering a culture of operational excellence

What We're Looking for:

  • Progressive experience with increasing levels of responsibility in development operations, nonprofit administration, or advancement services, including 6+ years in a technical or systems-focused role supporting fundraising teams

  • Advanced proficiency in data management best practices, including data hygiene, reporting, and query development to support performance and strategy

  • Deep expertise in CRM platforms (Salesforce preferred), with demonstrated experience in system administration, customization, reporting, and user support

  • Proven ability to design and deliver technical training programs and onboarding experiences for staff at all levels

  • Strong background in developing and implementing operational processes that support data integrity, efficiency, and compliance

  • Experience managing donor acknowledgment processes and ensuring accuracy and timeliness in high-volume gift processing environments

  • Solid understanding of fundraising compliance standards, data privacy regulations, and donor database best practices

  • Exceptional project management skills, with the ability to oversee cross-departmental initiatives and deliver outcomes on time and within scope

  • Excellent written and verbal communication skills, with the ability to translate complex systems and data into clear, user-friendly guidance

  • Demonstrated ability to work collaboratively across departments and with diverse internal stakeholders in remote and hybrid environments

  • Comfortable managing multiple projects simultaneously and adjusting to shifting priorities in a fast-paced setting

Location Requirements

  • Remote - Flexible Location

  • Willingness and ability to travel 20% or more for internal planning sessions, regional meetings, and organizational events

  • Work is primarily performed remotely, however, when possible and necessary, teams meet in person to conduct the business of the organization and build team relationships.

Compensation | Benefits:

The estimated hiring compensation range for this role is $110,000-$125,000. Final offers will be based on the candidate'sgeographic location, consider career experience and may vary from this range due to these and other factors.
