Description

Role Summary:

The facilities Coordinator plays a vital role in maintaining the Credit Union's buildings, systems, and equipment to ensure they operate safely, efficiently, and reliably. This position supports daily facility operations across multiple locations and contributes to a clean, secure, and well-functioning environment for members and staff. This role requires a proactive and organized individual who uses Microsoft Office and inventory tracking systems to manage tasks and communicate effectively.

Key Responsibilities:

Facilities Operations &Vendor Management



  • Monitor contractor performance across services such as landscaping, janitorial, HVAC, carpet, and elevator maintenance.
  • Maintain service records and ensure vendor compliance with contractual obligations.
  • Resolve contractor-related issues and communicate resolutions to management.


Maintenance Scheduling & Inventory Management



  • Schedule building and maintenance staff to respond to work orders; track assignments and completion using scheduling tools.
  • Maintain adequate inventory of maintenance products and utilize inventory software to monitor stock levels and generate replenishment reports


Facility Tracking & Compliance



  • Maintain and update tracking logs related to Corporate Facilities policies, including keys, cameras, access control, HVAC, and generator maintenance.
  • Escalate issues appropriately per policy guidelines.
  • Ensure HVAC and other critical systems remain operational, and coordinate repairs as needed.



Communication & Coordination



  • Communicate with managers regarding facility needs and coordinate visits and scheduled maintenance.
  • Respond to internal requests via email, text, or ticketing system for emergencies or time-sensitive facility needs.


Budget & Planning Support



  • Adhere to the annual facilities budget and participate in disaster recovery and business continuity planning related to facilities operations.



Qualifications

  • Education: High School diploma (required)
  • Experience: 1-3 years of similar or related experience (preferred)
  • Driving Requirements: Valid California driver's license and clean driving record (required)

  • Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook) (required).
  • Experience with inventory management systems or software (preferred).
  • Soft Skills: Strong organizational and communication skills (required).
  • Effective problem-solving and troubleshooting abilities (required).
  • Adaptability and a proactive mindset in a dynamic work environment (required).

Expectations & Work Environment:



  • Decision-Making Authority: Exercises independent judgment on facilities-related matters and serves as the primary point of contact for daily operational decisions, apart from input from the Facilities Manager.
  • Physical Requirements: Ability to sit, stand, walk, reach, and use hands for extended periods is required. Occasional travel between Credit Union locations is necessary. Occasional lifting and carrying of up to 25 pounds may be required to support maintenance tasks and inventory handling.
  • Workplace Culture: Maintain a consistently safe, clean, and operational facility environment. Foster an inclusive and responsive atmosphere by promptly addressing maintenance requests and emergencies, communicating effectively with team members and vendors, and proactively identifying opportunities for improvement. Flexibility in scheduling, including availability for after-hours and weekend assignments, is essential to support urgent needs and special projects.
