Vaco is hiring a Customer Service Representative
Location: Chicago, IL
Compensation: $55,000-$60,000/annually

Position Summary:
Primary responsibility to interact with customers, addressing their questions and concerns, and resolving issues to ensure satisfaction.Act as the company's first point of contact, providing information, processing orders, and handling returns or complaints. Maintain accurate records of customer interactions for quality analysis. Provides operational support for the Sales/Marketing team to promote revenue growth, productivity and exceptional levels of customer service satisfaction.
Responsibilities/Duties:
  • Process incoming customer orders accurately and efficiently. Verify details, pricing, quantities, inventory levels and shipping requirements.
  • Collaborate with cross-functional teams, sales, inventory management, and logistics to ensure timely and accurate order fulfillment. Serve as liaison between teams.
  • Prepares all documents for domestic and international shipments including pro-forma invoices where necessary.
  • Addressing customer inquiries related to order status and delivery timelines.
  • Communicate ship schedules, issues and/or delays to customer to ensure reasonable expectations.
  • Understand and implement customer invoicing requirements (EDI, ASN, utilizing various invoicing systems, online portals).
  • Preparing and issuing invoices to customers accurately and on time.
  • Transmit (EDI) and send invoices daily to customers for orders shipped.
  • Ensure proper billing of freight and special charges.
  • Prepare daily reports of open (not yet shipped) and invoiced orders.
  • Maintaining customer records
  • Responsible for price/promo sheets management and entering discounts.
  • Support Sales team.
  • Answer incoming consumer calls, assisting with inquiries and concerns to ensure a positive consumer experience. Manage concerns, de-escalating tense situations, and finding satisfactory solutions.
  • Maintain consumer response log of comments, concerns and issues.
  • Aid in the development and implementation of Food Safety Fundamentals and Food Safety Plan as outlined in the BRCGS system.
  • Reporting and other tasks as assigned.
  • Participate in process improvement initiatives to enhance order processing efficiency

EDUCATION/EXPERIENCE:
* Bachelor's degree; and, three to five years related experience and/or training; or equivalent combination of education and experience.
3-5+ years within a product related call center role


SPECIFIC KNOWLEDGE, SKILLS, LICENSES, CERTIFICATIONS, ETC:
  • Proficient in Microsoft Excel, Word and, PowerPoint.
  • Background with Microsoft Dynamics GP and True Commerce a plus.
Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
