Overview The Board Administrator serves as a liaison to all Children's Mercy boards and advisory committees (including the hospital Board of Directors, foundation Board of Directors and CMRI Advisory Committee), ensuring timely, exceptionally accurate communication and support with kindness, professionalism and confidentiality. This is the perfect position for a detail-orientated project manager, who also enjoys event planning and management, and approaches all aspects of work with a hospitality, customer-focused lens. Responsibilities Position reports directly to the Chief of Staff (in partnership with Chief Development Officer for foundation board activities): * Establishes, in conjunction with the Board leadership, the annual board and board committee meeting schedule; sets quarterly timelines for meeting agenda and material preparation. Effectively communicates such schedules and timelines to all involved parties. * Works closely with Board and CM executive leadership and other CM staff, as needed, to ensure timely, accurate and effective development of meeting materials according to established timelines, including meeting agendas, executive summaries, presentations, and more. Works closely with the Chief of Staff to review and revise meeting materials to ensure consistency and accuracy. * Responsible for creation and timely distribution of virtual meeting books and other materials. * Attends all Board and committee meetings and prepares meeting minutes for review by OGC attorneys. Distributes minutes to board and committee chairs and addresses any comments received. * Manages the annual Board and committee workplans, working with the various board and committee chairs to ensure that required tasks and actions are completed. Communication/Relationships: * Serves as primary point of contact for all internal and external stakeholder regarding the Board of Directors. * Provides a professional and positive interface between Board members, CM business units, CM staff, leadership and external consultants. Builds positive and productive relationships to facilitate the work of the Board. * Responsible for communications with the Board, ensuring timely dissemination of important information to keep members informed of important developments. * Manages all updates to the board roster, committee rosters and external website leadership page, ensuring information is accurate and updated in a timely manner. Event Planning and Management: * Manages the Board retreat process, ensuring a successful annual retreat. This includes working with external consultants and speakers to identify and meet their needs related to travel and meeting logistics. Works closely with the CEO and their assistant on venue selection, catering, and technical support. Prepares all necessary materials for the retreat and ensures that attendees receive all materials. * Responsible for creation and regular updating of the Board orientation program and materials. Conducts Board orientation sessions on an annual basis and as otherwise needed to ensure new board members are prepared to fulfill their responsibilities. This includes all preparations for orientation session such as scheduling, venue planning, catering planning, AV support, materials preparation, and presenter support. * Successfully plans and executes quarterly board meetings, lunches and receptions/dinners, including venue selection, catering, Run of Show scheduling, AV, and other planning as required to ensure an exceptional event experience for attendees. Board Files/Compliance: * Maintains the official corporate board files and records, ensuring an accurate record of governing body actions, including those taken in fulfillment of fiduciary responsibilities. * Manages the CM Board portal, ensuring information is kept up-to-date and addressing any technical or access issues. Ensures new board members and CM staff are granted appropriate access to the portal and ensures that access is terminated for departing members and CM staff. * Manages Board compliance process, including, but not limited to, annual conflict of interest review. Ensures that all members complete annual conflict of interest statements; reviews those statements for any potential conflicts and reports relevant information to the EVP/General Counsel. * Responsible for onboarding of new members and offboarding of departing members. This includes ensuring that required background checks are completed according to CM policy, as well as setting up appropriate access and "non-employee" profiles as required. Qualifications
Bachelor's Degree and 3-5 years' experience. Executive assistant level experience; prior experience supporting a corporate board preferred OR

The pay range for this job begins at $31.02/hr, but your salaried offer will be determined based upon your education and experience. Remote Work/Work from Home This is an intermittent remote position, which means that the person hired will work with his or her manager to determine a schedule that includes both at home and on-site hours at a Children's Mercy location. The incumbent must live in the Kansas City metro area.
