About the Job

General Statement of Responsibilities:

Provide administrative support for the Clinical Operations Leadership Team and clinic providers across multiple University of Minnesota locations.

Detailed Job Responsibilities:

Support to Clinical Operations Leadership Team- 70%:

  • Provide administrative support to the Clinical Operations Leadership Team
  • Support satellite locations in coordination of hours of operation and staff schedules with other stakeholders throughout Boynton
  • Alert appropriate Clinical Operations Leadership Team staff if providers are overdue for their required trainings
  • Schedule meetings as requested
  • Serve as a delegate to approve payroll, vacation, and sick time as requested by members of the Clinical Operations Leadership Team
  • Serve as a delegate to coordinate review and approval of expenses for clinical service providers in partnership with providers' supervisors
  • Perform monthly audits and corrections for time off/absences
  • Answer, screen and appropriately redirect phone calls.
  • Promote a safe, equitable, and respectful environment in which concerns can be addressed effectively.

Support to Clinical Service Providers - 20%

  • Run compliance reports at designated times throughout the year to ensure providers are completing required trainings on time
  • Follow up with providers when the deadlines for required trainings are approaching
  • Connect with providers at designated times during the year to review templates/schedules prior to deadlines and submit hours change form to Human Resources for updates to PeopleSoft as needed
  • Manage prior authorization processes for clinical services
  • Send reminders to providers to complete reconciliation of hours and costs associated with Continuing Medical Education (CME)
  • Assist providers with CME reconciliation as requested

Clinic Front Office Support - 10%:

  • Prepare memos, correspondence, and spreadsheets as requested
  • Support process for meeting preparation
  • Maintain calendar and schedule meetings in partnership with other administrative support staff throughout Boynton

This position also completes other duties as assigned.

Qualifications

Required Qualifications:

  • High School Diploma/GED and four years of related office experience. Training/education may be substituted for some of the years of experience.
  • Computer experience.
  • Proficient in Google Suite, including Docs, Sheets, Slides, Calendar, and Gmail
  • Demonstrated commitment to promoting a culture that respects and advances diversity and inclusion.

Preferred Qualifications:

  • Previous experience with Point and Clinic (PNC) Electronic Medical Record system
  • Experience working in a team setting
  • Experience communicating with patients and insurance companies.
  • Good verbal communication and decision making skills
  • Experience formatting, editing, and proofreading business correspondence
  • Calendaring experience
  • Accounting or finance experience
  • Experience working with U of M's Chart of accounts and Management Reports
  • Experience working with individuals from diverse racial, ethnic, and socioeconomic backgrounds

Pay and Benefits

Pay Range: $22.71-$25.51 hourly; depending on education/qualifications/experience

Time Appointment: 100% Appointment

Working Hours: 7:45am-4:30pm, Monday-Friday
